User guide
The Lushera user guide
Welcome to Lushera. This guide walks you through running your whole salon from one calm screen: your diary, clients, colour records, money, staff, stock, reminders, marketing and your own online booking page. It is written for the full salon edition, Lushera. If you run a single chair on your own, see the separate Lushera Solo guide instead.
Everything here describes what Lushera actually does today. Where a feature is on its way but not yet live, it is clearly marked Coming soon.

Getting started
Signing up
- Go to the Lushera sign-up page and create your account with your name, email and a strong password.
- Confirm your email if prompted.
- Sign in. The first person to sign in is the salon owner and sets everything up.
Lushera runs in your web browser - there is nothing to install. It works on a desk computer, a laptop or a tablet.
Turn on two-factor authentication
For security, we recommend enabling two-factor authentication (2FA) straight away: go to Settings > Security and follow the steps to link an authenticator app. From then on, sign-in asks for a six-digit code as well as your password.
Fill in your salon profile
Go to Settings and complete your business profile: salon name, address, phone, opening hours and logo. Your opening hours and logo feed the booking page and the price-list PDF, so it is worth doing early.
Choosing your working style
A one-time question the first time the owner signs in: how do you work?
- Salon owner - turns on everything: staff and wages, stock, retail, the online booking page and marketing. This is the full Lushera edition.
- Chair renter - the single-operator setup (this is Lushera Solo; use the Solo guide).
Choose salon owner for the full suite. Lushera then switches on the right modules for you. You can fine-tune which modules are on later in Settings > Modules (for example, turn retail off if you do not sell products).
Adding staff, services and your rota
Add your services first
Services are the heart of the diary - a service is whatever you sell, from a full head colour to a sunbed session or a massage.
- Go to Services.
- Add each service with a name, category, price, duration and any buffer minutes (tidy-up or setting time after the appointment).
- Tick requires patch test on colour services - this powers the safety guard at booking time.
- Mark a service inactive if you stop offering it, rather than deleting it, so your history stays intact.
Add your staff
- Go to Staff.
- Add each team member with their name and role:
- Owner - full access.
- Manager - everything except owner-only settings.
- Stylist - their diary, clients and day-to-day tools.
- Front-desk - the reception view: calendar, walk-ins, clients and desk sales.
- Set each person's pay model and rates (see Money, section 7).
- Use the staff-to-service matrix to say who can perform which services - this keeps the booking page and conflict detection accurate.
Each staff member can set their own public name (first name only by default) for the booking page, so full names stay inside the salon.
Build your rota
The rota drives both the diary columns and the availability shown on your booking page.
- Go to Rota.
- Add each person's shifts per day.
- Record time off as needed.
Only staff on shift appear as columns in the day view, and availability on the booking page comes straight from the rota minus existing bookings - so you are never double-booked.
The calendar
The calendar is where the day runs. Open Calendar for the diary.
Day and week views
- Day view shows one column per working stylist, driven by the rota.
- Week view shows the week at a glance.
- Switch views with the toggle at the top.
Making a booking
- Click an empty slot (or click New booking).
- Choose the client (search existing, or quick-add a new one).
- Choose the stylist and add one or more services - a cut and a colour go on one appointment, with prices and durations summed. Override an individual item where you need to.
- Save. The booking enters the lifecycle booked > confirmed > completed, or no-show / cancelled.
Conflict detection catches a double-booking for the same stylist before it happens.
The patch-test guard
If you book a service marked requires patch test for a client with no patch-test date on record, or one older than the validity you have set, Lushera warns you at booking time. It is a prompt to check, not a block - the decision stays yours.
Walk-ins - two taps
For barbershop pace, use the walk-ins view:
- Tap the staff member.
- Tap the services.
- Done - no client details needed, and the takings count instantly.
A mistake undoes in one tap. The walk-ins view shows rolling daily totals: the day's headline figure plus a per-stylist breakdown, with any chair renters' takings kept separate from salon takings. The same quick cash / card / other chips as the completion dialog are there too, so a walk-in can be tagged for the end-of-day cash-up in the same two taps.
Online requests (request-to-book)
If your booking page is set to request-to-book, new online bookings arrive in a requests inbox for you to confirm or decline. The dashboard shows a count so nothing is missed.
The outside-hours guard
If you try to book outside your opening hours or a stylist's rota, Lushera flags it so accidental out-of-hours bookings do not slip in. You can still proceed deliberately where you mean to.
Completing a booking
Mark a booking completed when the client has been seen. This writes the takings straight into Money, attributed to the stylist for commission and chair-rent maths. Mark no-show or cancelled as appropriate - these feed the client's no-show count and your reports.
As you complete, a compact "How was it paid?" row offers Cash / Card / Other chips and an optional tip box. Both are always skippable - an unrecorded payment never blocks completion; it simply shows in the cash-up's honest "unrecorded" bucket instead (section 7). If the client holds a package, pick it here and the covered services are paid from it (section 8).
Recorded something wrong? Open the completed booking and correct the payment method or tip: any role can fix it on the day itself (the stylist tidying up before cash-up), while older days need a manager or owner - money history is admin territory.
Clients, colour formulas, patch tests and consent forms
Open Clients for the client database. Everything you know about a client sits on one card.
Client records
- Contact details, birthday, free notes and marketing consent.
- Visit history built automatically from their bookings.
- A no-show count.
- Marketing consent and SMS opt-out toggles that govern who your campaigns can reach.
Switching from another system
Bring your client book with you in one file:
- Export your clients from your old system (or spreadsheet) as a CSV - most systems have an "export clients" or "download as CSV" option.
- In Lushera, open Clients and press Import CSV. Columns like name, phone, email, notes and birthday are recognised automatically, whatever they are called - up to 5,000 rows per file.
- Anyone already in your client book (matched by phone or email) is skipped, never overwritten or merged - a duplicate in the file can never damage an existing record.
- When the import finishes you get a plain summary: how many came in, how many were skipped as duplicates or unusable, and any warnings (an odd date, an email with a typo) so nothing disappears silently.
- Marketing consent is never imported. Consent has to be given to you by the client, so imported clients start opted out - they can opt in at the desk or through your booking page.
Colour-formula records
On a client's card, add dated colour-formula records - exactly what you mixed and when. They stay on the card so any stylist can pick up the client's colour history.
Patch tests
Record a client's patch-test date on their card. This feeds the booking guard (section 4). Set the validity period in Settings so the guard knows when a test has expired.
Consent forms with e-signature
Capture signed consent and keep it where it belongs - on the client's record.
- Templates: a sensible default patch-test consent is provided, and managers can add consultation or custom forms from Settings. Merge fields fill in the salon, client and date automatically. Review the template wording with your insurer - the default is an example, not legal advice.
- Sign in the salon: from the client's Consent card, choose the form and hand the tablet over - the client reads it, draws their signature and types their name.
- Or send a signing link: a one-off link (share it by copy, WhatsApp or email) lets the client sign on their own phone. It expires after 14 days and stops working the moment it has been used; send a fresh one any time in one tap.
- The wording is frozen at signing. Editing a template later never changes what a client already agreed to - each record keeps the exact text they saw, the timestamp and their drawn signature. That is the point: a clear, timestamped record of what was agreed.
- Patch-test tie-in: signing a patch-test consent form also updates the client's patch-test date, so the booking guard trusts it with no re-typing - the signed record is the evidence behind the date.
- Consent records are included in a client's GDPR export (with the signature image) and removed by a GDPR delete.
GDPR tools
- Export a client's data on request (for a subject-access or portability request).
- Delete a client's data - Lushera hard-deletes the personal details and leaves anonymised booking stubs, so your money figures stay intact.
See the Data Processing Addendum for how Lushera handles this data.
The shared-terminal PIN mode
Most salons run the whole day through one computer at the desk, signed in from open to close and used by everyone. Shared-terminal mode makes that safe.
Turning it on
- At login, tick "This is a shared salon computer", or enable it in Settings > Security. The device remembers the choice.
- The session then idles at front-desk level: calendar, walk-ins, clients and desk sales stay open for everyone, all day. Money, Insights, wages, staff, marketing and settings are locked.
Setting a PIN
Each owner and manager sets a personal 4 to 6 digit PIN in Settings > Security (or the owner can set one from the Staff panel). PINs are stored securely and can never be read back by anyone.
Unlocking and relocking
- Tap a locked tab (Money, Insights, Wages, Staff, Marketing or Settings).
- Enter your PIN on the big, touch-friendly pad.
- You are unlocked as yourself for a set number of minutes (you choose how many in Settings > Security, default 5).
- Tap Lock now any time, or just close the tab - it relocks instantly.
Good to know
- Server-enforced, not cosmetic - the locked screens are refused by the server itself until a valid PIN is entered.
- Audit trail - every unlock and every failed attempt is recorded, so you can see who opened the money screens and when. Repeated wrong PINs lock the account, just like wrong passwords.
- Forgotten PIN? Your password is the reset: sign in normally and set a new PIN in Settings.
- Honest scope: the PIN protects privacy at the desk - it does not replace your password, and sign-in security changes still need a full login. Bookings made at the shared terminal are recorded against the terminal login, not the individual stylist who tapped them in.
See the Terms of Service (account security) for your responsibilities here.
Money - takings, tips, sales, wages and tax-year reports
Open Money for the salon's takings and outgoings, ready for your accountant.
Income
Income is captured automatically:
- Completed bookings post their takings.
- Retail sales at the desk post income and move stock.
- Package sales post at the moment of sale (section 8).
- Tips post as their own income category, separate from service takings.
- Chair rent due posts as salon income from a chair renter.
- Add manual entries for anything else.
Expenses
Record categorised expenses - chair rent, products, utilities, insurance, training, laundry, equipment, marketing and more. Set up recurring templates for the regulars (rent, subscriptions) so they post themselves.
Reports
- A month-by-month profit-and-loss grid and category breakdowns.
- A UK tax-year summary (6 April to 5 April) the way your accountant expects it.
- CSV export for hand-off.
- VAT figures when you turn the VAT toggle on in Settings.
Tips and how it was paid
When a booking or walk-in completes, the Cash / Card / Other chips record how it was paid and the optional tip box records the tip (section 4). What that means for the money:
- A tip is the stylist's to keep - it posts as its own income category (so your tax-year report shows tips on their own line) and is never part of the commission calculation. The cash is handed over outside the wage run.
- A chair renter's tip is the renter's money, exactly like their takings - it never posts as salon income.
- Recording is always optional. What nobody tags shows up honestly as "unrecorded" in the cash-up, rather than being guessed.
Cashing up - takings by payment
The Money tab's "Today's takings by payment" card splits the day's bookings, desk sales, package sales and tips into cash / card / other / unrecorded, so the drawer count has something real to check against. It reads from the same income rows as the rest of Money, so the two can never disagree. A few deliberate choices, so the numbers mean what they say:
- Chair renters' takings are absent - their money is not salon money.
- Voided sales are absent.
- The unrecorded column is honest: it is the day's income nobody tagged with a payment method, not a rounding trick.
Desk sales
If retail is on, take a desk sale from the walk-in/sale flow: pick products, take payment, optionally attribute to a client or stylist (for retail commission). The sale feeds both stock and the money section in one step.
Wages - all five pay models
Set each staff member's pay model on their Staff record. Lushera supports five, and shows the calculation on every wage line:
- Hourly - rota or actual shift hours multiplied by their rate.
- Salary - a fixed annual figure, apportioned to the pay period.
- Commission - a percentage of their own completed service takings, with an optional separate retail commission percentage. Tips are never commissionable - the stylist keeps the tip.
- Chair rent - the renter owes the salon rent; their takings stay theirs, and the wage line produces a rent-due figure (income to the salon, not a wage).
- Mixed - a basic rate plus commission on top.
To run wages:
- Go to Wages.
- Start a wage run over your chosen period.
- Review the draft; adjust individual lines where needed.
- Finalise the run - finalised runs are locked and cannot be edited, and can be reported or exported to CSV.
The price-list PDF
One click turns your live service menu into a branded price-list PDF - your logo, your categories, today's prices - ready to print or send. Look for the price list action on the Services page.
Packages and prepaid bundles
Sell ten sessions or two hundred sunbed minutes up front, and let Lushera count them down. Packages work in every edition and need no extra module.
Setting up your packages
- Go to Services and find the Packages card (manager and owner).
- Add each package with a name, price, and its kind:
- Sessions - a pack of visits (ten blow-dries, six gel sets). Each covered service on a visit uses one session.
- Minutes - a bundle of time (200 sunbed minutes), counted down by each covered service's duration. Made for tanning studios.
- Optionally limit the package to certain services (leave it open for "any service") and give it a validity in months.
- Once a client holds a package it cannot be deleted - deactivate it instead, so sold history stays explicable.
Selling a package
Sell from the client's record: pick the package, take the money and tag it cash / card / other. Any team member can sell one - it is a desk transaction like any sale. The client's active packages, and what is left on each, show on their record.
The money is recognised at the sale. The income posts on the day the client pays, shows in that day's cash-up under its own Packages column, and gets its own line in the tax-year report. Nobody earns commission on selling a package - the income belongs to the salon.
Redeeming at a visit
When a package holder's booking completes, choose their package in the completion dialog (section 4):
- Covered services are paid from the package - a sessions pack uses one session per covered service; a minutes bundle deducts each covered service's duration while the minutes last.
- Partial coverage just works: anything the package does not cover is charged normally.
- Never double-counted: services paid from a package post no new income - the money was taken at the sale. A tip on a fully-redeemed visit still records normally.
- Reopening a completed booking hands the redeemed sessions or minutes back.
When a package's validity date passes, it expires automatically - with an honest record of what lapsed unused.
Stock, including backbar
If stock is on, open Stock for retail and backbar products on a ledger you can trust.
Products
Add each product flagged as retail or backbar, with retail price, cost price, quantity and a low-stock threshold.
The stock ledger
Stock movements are append-only - nothing is silently overwritten:
- Purchases (which feed expenses),
- Retail sales (which feed income and decrement stock),
- Adjustments,
- Backbar use, and
- Stock-takes (an absolute recount).
Low-stock alerts
Products below their threshold appear on the dashboard low-stock list, so you reorder before you run out.
Desk-sale flow
Selling a retail product uses the desk-sale flow described in section 7 - pick products, take payment, optionally attribute to a client or stylist - updating stock and money together.
Your online booking page (embed, QR, waitlist and personalisation)
If online booking is on, you get a public page that is properly yours - clients pick a service, choose a stylist and book a real slot.
Set it up
- Go to Settings > Online booking.
- Set your page slug (the web address), the services and staff shown, and whether the page is instant-book or request-to-book.
- Set your booking rules: slot size, lead time and cancellation window.
Availability comes straight from the rota, existing bookings and your rules, so you are never double-booked. New bookers are matched to an existing client or created and flagged as coming from online.
Personalise it
The page carries your logo and accent colour, plus a find-us footer: a map link, tap-to-call phone, and your Instagram, Facebook or website links. Staff privacy by default - the page shows first names only, and each stylist can set their own public name.
The offers opt-in
The booking form can show an optional, never pre-ticked "hear about offers and news" checkbox that builds your marketing list legitimately.
Share, embed and QR
All self-serve from Settings > Online booking:
- Share the link anywhere - your bio, posts, Google profile.
- Copy-paste an embed snippet into any website builder to drop the booking flow into your own website - no developer needed.
- Download a QR code to print for the desk, window or price list.
The cancellation waitlist
When a client's chosen day is full, the booking page offers to add them to the waitlist instead of turning them away - they leave their name and a phone number or email. The desk can add people too, from the Waitlist button on the calendar toolbar (with a date range, a preferred stylist or "any", and the services they want).
When a booking on a wanted day is cancelled:
- Lushera first re-checks that the time is genuinely free - a slot that was instantly rebooked notifies nobody.
- The longest-waiting matches are messaged - by text where the salon has texting on and the client can receive one, otherwise by email - with a link to your booking page. Nobody is messaged twice about the same day.
- First come, first served - the slot is never held. Holding slots would let one person ghost your diary by "reserving" every freed time and booking none of them, so the message says plainly: book now. When a waiting client books, their waitlist entry ticks over automatically, and entries whose dates pass expire on their own.
The whole feature switches on and off in Settings, under Booking rules. These are service messages to people who asked to be told, not marketing.
Confirmations and reminders
Online bookings get an email and text confirmation, then a reminder the day before (section 12).
Deposits and the manage-my-booking link
Deposits (Stripe) - Coming soon
Card deposits are built and ready in the product, but they go live once our Stripe go-live is complete. Until then, the groundwork is in place but deposits are not taken on real cards - so we do not sell it as if it were live. When it is on:
- You connect your own Stripe account from Settings > Deposits (a standard Stripe account that you own, with its own Stripe dashboard - the setup walks you through creating one if you do not have it). Deposits settle directly to your account and Stripe pays them out to your bank; Lushera never holds your clients' funds.
- Set your deposit policy: off, a fixed amount, or a percentage, with optional per-service overrides (a bigger deposit on colour, none on a dry trim).
- Timing is safe by design. For request-to-book salons, a deposit is an authorisation hold taken when the request is made; the money only moves when you confirm. Decline a request and the hold is released - nothing ever moved, so there is nothing to refund. For instant-book salons, the deposit is captured at booking.
- A deposit is part-payment of the service, never an extra fee: the booking shows the deposit paid and completion shows the balance due.
- Refunds (for a cancellation inside your window after confirmation) are real Stripe refunds and can take a few days to appear. A retained deposit on a no-show or late cancellation is never auto-refunded - you choose to keep or refund it.
- What it costs. Stripe takes its normal card-processing fee from each deposit it collects - about 1.5% plus 20p for a UK card at the time of writing, see Stripe's pricing - before the money reaches your balance, so a £10 deposit lands as £9.65. Lushera adds nothing, and your plan price never changes with deposits. A hold you release costs nothing at all; a deposit you refund does not get Stripe's fee back.
The manage-my-booking link
Every booking confirmation and reminder (email and text) carries a secure manage-my-booking link. From it, a client can:
- see their appointment summary and your salon's phone number;
- cancel or reschedule - but only while they are outside your cancellation window. Inside the window, the page tells them to call the salon (your number is shown).
Rescheduling re-checks availability for the same stylist and services and re-arms the reminder. A client cancel outside the window frees the slot, emails the salon, and (when deposits are live) releases a held deposit - never touching a captured one.
Reminders and texting
Lushera keeps in touch for you, so the chair stays full and you never chase.
Automatic reminders
- Go to Settings > SMS / Reminders.
- Choose the reminder channel: email, text, or both.
- Optionally turn on booking confirmations the moment a slot is taken.
- Edit the text templates here using the merge fields
{salon},{client},{service},{date},{time}(and{link}for the manage link). Email wording lives in its own card, Settings > Email wording and signature - see below.
Reminders go out the day before on their own, straight from the rota.
Your email wording and signature
Every email Lushera sends to your clients - booking confirmations, request-received notes, reschedule confirmations, the day-before reminder, review requests and waitlist notices - carries your own wording and signature inside Lushera's email layout. Your logo sits at the top, the appointment details sit in the middle, and the fixed footer says the email was sent by Lushera for your salon.
- Go to Settings > Email wording and signature (owner or manager).
- Pick the email you want to change from the chips at the top. The line under the chips says when that email goes out.
- Edit the subject and the message. The message is the paragraph above the appointment details; the details themselves (date, time, services, stylist, price, deposit and the buttons) are added for you and cannot be edited. Use the merge fields -
{salon},{client},{service},{date},{time},{stylist}and{link}- by clicking a chip; it lands where your cursor is.{client}is the client's first name and{stylist}is the stylist's public name, the one your booking page shows. - Put
{link}in the message if you want the button there - "Reschedule or cancel this booking" on booking emails, "Leave a review" on review requests. Leave it out and the button sits under the details. On emails with no link it simply disappears. - Write your signature once and it goes under every client email, campaigns included. Plain text; line breaks are kept and web addresses become links. Your phone number, address and the social links from your booking page are added automatically when they are filled in. Add an image (PNG or JPG) if you like - it is scaled down for you.
- Press Preview to see the email with a sample client and booking, then Save email wording. Send me a test emails the saved wording to your own login address.
- Plain text only. Lushera refuses
<and>so a stray tag can never break the layout or trip a spam filter. Line breaks are kept. - Leave a field blank to go back to Lushera's standard wording for that email, or press Restore default to reset the whole email. Nothing changes until you press Save.
- Your logo at the top of every email comes from Settings > Your branding. The accent colour follows your online booking page.
- Until you write an email-specific message for review requests, the review email keeps using the message from the Review requests card, exactly as before.
- Emails sent from the calendar - confirming, declining or cancelling a booking yourself - are not part of this yet: Lushera does not currently email the client for those. Clients do get a text confirmation when confirmations are on.
Texts: two ways to send, side by side
Lushera can text your clients two ways. Automatic texts are set up in Settings > SMS text reminders; you can change the route later.
| Lushera text credits | WhatsApp tap-to-send | |
|---|---|---|
| What it costs | 6p a text, bought in packs (100 texts - £6, 500 - £30, 1,000 - £60, inc. VAT) | Nothing - your usual WhatsApp |
| What you need | Nothing to set up - buy a pack and turn reminders on | A phone with WhatsApp |
| Sends automatically | Yes - reminders, confirmations, review requests, waitlist notices | No - it opens a ready-typed message for you to send |
| Shown as sent from | Your salon's name (up to 11 letters and numbers, no spaces) | Your WhatsApp account |
| Clients can reply | Not to reminders - they use the manage link instead. Campaign texts go from a reply number, so STOP works | Yes |
| Marketing campaigns | Yes, when the reply number is switched on for your server (reminders work either way) | Not through Lushera |
| Best for | Salons that want texting to just work | The odd one-off message |
Buying and using credits
- In Settings > SMS text reminders choose Lushera text credits - nothing to set up, 6p a text and save. Lushera suggests a sender name made from your salon name (for example CopperFernH); you can change it - up to 11 letters and numbers, no spaces.
- Under Text credits, pick a pack. You are taken to a secure Stripe page to pay by card and brought straight back to Settings with your new balance.
- Turn on reminders (and confirmations if you want them). Each text uses one credit per 160 characters; a reminder with its short manage link is normally one part, and a long list of services can make it two.
- Undelivered texts are credited back automatically. Credits don't expire and aren't refundable.
- When you have fewer than 20 credits left, the app shows a banner so you can top up before reminders stop going out. If the balance runs out, Lushera emails the reminder instead where the client has an email address, and sends the text once you top up.
Campaigns and text credits. Campaign texts go out from a reply number so clients can text STOP. Before sending, the campaign screen tells you how many credits the whole audience needs against your balance, and refuses to send a campaign it can't complete - nothing is ever half-sent. If your server shows "Campaign texts aren't available on this server yet (reply number not set)", reminders and confirmations still work; campaigns by text switch on when the reply number is added.
Bringing your own gateway is still supported: connect your own Twilio account in Settings and texts bill to you there. Texts sent from a number - Twilio or campaign texts - carry an opt-out line, and a client who replies STOP is unsubscribed automatically; you can also toggle a client's opt-out on their record. A console / test mode logs texts instead of sending, so you can try everything with no spend.
Marketing campaigns and operational comms
Marketing campaigns - consent-first
Open Marketing (owner and manager) to send offers, birthday messages and "we miss you" win-backs - only to clients who have opted in.
- Create a campaign and choose the channel: Email, Text or Both.
- Pick your audience: everyone opted-in, "not seen in the last N months", or "birthdays this month" - with a live recipient count before you send.
- Write the subject and body with the merge-field legend, and a 160-character counter for texts.
- Preview and send a test to yourself.
- Send now or schedule for later. Sends batch and throttle in the background and resume safely if interrupted.
Compliance is built in (UK PECR and GDPR):
- Email audience = opted-in clients with an email; text audience = opted-in clients with a phone who have not opted out of texts.
- Unsubscribe is mandatory and one-click - every email carries an unsubscribe link, every text the STOP line. Opting out is permanent and re-checked at send time.
- You see sent, failed and unsubscribed counts per campaign.
Honest limits: no open/click tracking in v1 (counts only), bulk email is most reliable through a proper email service, and per-text cost is borne by your gateway.
Operational comms
When you cancel or need to move appointments (for example a stylist is off sick), Lushera's comms tools help you message the affected clients quickly with the right merge fields - these are service messages to people with a booking, distinct from marketing.
The Insights dashboard
Open Insights (owner and manager only - and behind the admin PIN at a shared terminal, just like Money) for the numbers behind the diary. Every derived metric carries its honest footnote on the card, and a young salon sees a friendly "not enough history yet" rather than made-up numbers.
- Rebooking rate - of completed visits, the share followed by another booking from the same client within 90 days. Visits too recent to judge fairly are excluded and counted separately.
- Client retention - of the clients you saw six months to a year ago, how many have been back in the last six months - plus new clients per month.
- Average ticket - the service value of a completed visit, overall and month by month. Tips are excluded - they are the stylist's, not the ticket.
- Staff utilisation - booked minutes against rota-shift minutes, month by month. A month with no rota shows no figure rather than a fake one.
- The quiet map - a weekday-by-hour grid of your bookings, so "Tuesday afternoons are dead" stops being a hunch and becomes something you can price or staff around.
- No-show trends by month, and your top clients by value over the last year.
- Campaign takings - what each campaign's recipients went on to spend within 30 days of the send, labelled indicative - those clients may have booked anyway, and the card says so rather than claiming credit.
When the internet drops - offline and read-only continuity
Lushera is built for the real front desk, where the broadband is not always perfect. If your connection drops, the app keeps showing what it already has and lets you keep viewing the day, so you are not left blind at the desk. Actions that need the server queue or wait until you are back online, and billing actions never queue. When the connection returns, things catch up.
If your subscription ends, the account moves to read-only (see section 16) - a different situation from a brief connection drop, but the same calm behaviour: you can still see and export everything.
Subscription and billing
Plans
Lushera is a monthly or annual subscription. The full salon edition is banded by the number of active staff in your account; Lushera Solo is a lighter single-operator plan. The tiers and prices in force are those shown on our website and at checkout.
Managing your subscription
- Add staff and you may move into a higher band; changes apply from the next billing cycle.
- Cancel any time from your account/billing area to stop future renewals. You keep full access to the end of the paid period.
Cancelling - your data is never deleted
When your subscription ends, your account becomes read-only at the end of the paid period. Your data is not deleted. You can still sign in, view everything and export your salon, client and money data (CSV). We keep the read-only account for at least 12 months at no charge; you can ask us to delete it sooner, and we complete a deletion within 30 days. Re-subscribing within that window restores full access.
See the EULA (sections 4 and 5) for the full cancellation and retention terms, and the Data Processing Addendum for how your data is handled.
Troubleshooting and FAQ
A stylist is not showing as a column in the day view.
Check the rota - only staff on shift that day appear as columns. Add their shift and they will show.
A booking page slot I expected is not available.
Availability is the rota minus existing bookings, minus your lead time and slot rules. Check the stylist's rota, the booking rules in Settings, and whether the slot is already taken.
The patch-test warning appeared when I did not expect it.
The client has no patch-test date on record, or it is older than your validity setting. Add or update the date on the client card, or proceed deliberately if you have checked.
I am locked out of Money / Wages / Settings on the desk computer.
The device is in shared-terminal mode. Tap the locked tab and enter your admin PIN. Forgotten it? Sign in with your password and set a new PIN in Settings > Security.
A text reminder did not send.
Check Settings > SMS: is your Twilio account connected (or is it in console/test mode, which only logs)? If you use text credits, check the balance - when it runs out, Lushera emails the reminder instead where the client has an email address, and sends the text once you top up.
A client asked to be removed / to see their data.
Use the export and delete tools on the client card (section 5). Deleting leaves anonymised booking stubs so your figures stay intact.
I recorded the wrong payment method or tip on a completed booking.
Open the booking and correct it. Any role can fix a booking from the same day; older days need a manager or owner (section 7).
A waitlisted client says the slot was gone when they tapped the link.
That is the design working honestly: the slot is never held, and up to a few of the longest-waiting matches are told at once - first come, first served. Holding slots would let anyone block your diary with ghost reservations.
Can I sell a package on my booking page?
Not yet - packages are sold at the desk. Online package sales need live card payments, which arrive with our Stripe go-live. The booking page does show a "Packages available in salon" note.
Can I take a card deposit yet?
Not on real cards until our Stripe go-live - deposits are marked Coming soon. Everything else about the booking flow works today.
Does Lushera file my taxes or run payroll?
No. The money and tax-year features are reporting only - they help you and your accountant, but do not file with HMRC and are not payroll.
Can two people share one login to save on the staff band?
Please don't - accounts are per person, and sharing to avoid staff bands is not allowed (see the EULA). Separate accounts also keep your audit trail and permissions meaningful.
